User, Privacy & Submission Policy

This document governs your use of the PaperDirect Conference Management System. Please read it carefully before using the platform.

1. Introduction

Welcome to paperdirect.online, a comprehensive Conference Management System (CMS) designed to support the full lifecycle of academic conferences — from abstract submission and peer review through to publication.

This document constitutes a binding agreement between you ("User") and PaperDirect governing your access to and use of the platform. It combines our User Policy, Privacy Policy, and Submission Policy into a single, unified document for clarity.

Important: By registering an account or accessing any part of this system, you confirm that you have read, understood, and agreed to all terms in this policy. If you do not agree, you must not use the platform.

Editor A registered user who assigns reviewers and oversees the review process
Personal Data Any information that identifies or can identify an individual

4. Acceptable Use

You may manage your notification preferences from your account dashboard. Regardless of your preferences, we reserve the right to send security alerts, submission decisions, and critical administrative messages. You remain solely responsible for meeting submission deadlines regardless of whether you receive reminder notifications.

14. Submission Policy

14.1 Submission Types

Conferences may accept full papers, short papers, abstracts, and posters, as configured by the Conference Administrator.

14.2 Originality Requirements

All submissions must be original work that has not been previously published. Submissions must not be under simultaneous review elsewhere unless the conference explicitly permits this and you have disclosed it.

15. Peer Review Process

The review model (single-blind, double-blind, or open) is determined per conference and disclosed on the conference page. Reviewers are assigned based on expertise and absence of conflicts of interest. Final acceptance and rejection decisions rest with the Conference Administrator.

16. Confidentiality

All submissions are treated as confidential during review. Reviewers must not share submission content with unauthorized parties, use unpublished content for their own research without author consent, or discuss submissions outside the review process. This obligation survives the conclusion of the conference.

17. Revisions & Final Submission

Conditionally accepted papers may require revisions. Authors must address all reviewer comments within the revision deadline and ensure the camera-ready version meets all conference formatting standards. Failure to submit a compliant camera-ready version by the deadline may result in exclusion from the proceedings.

18. Acceptance & Publication

Accepted papers may be published in the official conference proceedings, made available via the conference website, or recommended for affiliated journals. Publication is conditional on at least one author completing conference registration and fulfilling the presentation requirement.

19. Presentation Requirement

At least one registered author must present accepted work at the conference. Failure to present without prior written approval from the Conference Administrator may result in exclusion of the paper from the proceedings.

20. Withdrawal Policy

Authors may withdraw submissions before a final decision is issued by contacting the Conference Administrator. After acceptance, withdrawal requires written justification and may not prevent inclusion in an already-finalized proceedings volume.

21. Intellectual Property

Authors retain full copyright ownership. By submitting, authors grant the conference a non-exclusive, royalty-free license to reproduce, distribute, and archive the accepted work. This does not transfer copyright to PaperDirect. PaperDirect retains all rights to the platform software, design, and infrastructure.

22. Ethical Compliance

All users must comply with applicable ethical standards, including IRB or ethics committee requirements for research involving human subjects, applicable data protection regulations (e.g., GDPR, PDPA), disciplinary ethical guidelines, and all applicable laws. PaperDirect reserves the right to remove content that violates ethical standards.

23. Cookies & Tracking

PaperDirect uses session cookies (for authentication) and preference tokens (for functional preferences such as cookie consent). We do not use third-party advertising cookies or behavioral tracking. Disabling cookies will prevent login and use of core platform features.

24. Third-Party Services

PaperDirect may use third-party services for email delivery, payment processing, and aggregate analytics. Third-party services are governed by their own privacy policies. We do not store payment card details on our servers.

25. International Data Processing

Your data may be stored and processed in a jurisdiction different from your country of residence. By using the platform, you consent to such transfers. We take reasonable steps to ensure appropriate safeguards are in place for international data transfers.

26. Liability Limitations

The platform is provided "as is" and "as available" without warranty. To the maximum extent permitted by law, PaperDirect disclaims liability for data loss due to technical failures, missed deadlines, unauthorized account access resulting from user negligence, and decisions made by Conference Administrators or reviewers. Our total liability shall not exceed registration fees paid by the affected user in the preceding twelve months.

27. Account Security

You are responsible for maintaining the confidentiality of your credentials. Use a strong, unique password, never share your credentials, log out on shared devices, and report any suspected unauthorized access to admin@paperdirect.online immediately. You are liable for all activity conducted through your account unless unauthorized access occurred despite reasonable precautions.

28. Policy Violations & Enforcement

Violations may result in a formal warning, rejection or removal of submissions, temporary or permanent account suspension, notification of the user's institution, or referral to legal authorities. Users may contest enforcement decisions by contacting admin@paperdirect.online.

29. Policy Updates

We may update this policy at any time. Material changes will be communicated by updating the "Last Updated" date, displaying a notice on the platform, and sending notifications to registered users where required by law. Continued use after the effective date constitutes acceptance. If you do not agree with a material change, delete your account before it takes effect.
